Dear Homeowner:
 
Our annual meeting of the Bifrost Gate Homeowners Association is scheduled for Saturday, October 17, 2020 at 10 am, at the big park located at SE 296th Way and 125th Ave SE, Auburn, WA  98092, rain or shine, in order to maintain proper gathering size and social distancing protocols, please bring masks and umbrellas as required.  An agenda is provided on the reverse side of this notice for your convenience.
 
The board will be presenting the board approved 2021 budget for ratification during the meeting. Some of the changes you may notice in the new budget include the following: While the 2020 reserve study recommends a $25.56 increase in annual dues per lot, the board is pleased to announce there is no dues increase planned for 2021. We believe we can absorb this increase into the the budget due in part to collection efforts in 2020 which have reduced our bad debtors list to currently only one owner in arrears by only a couple hundred dollars, this is likely the best financial position we have seen in dues collections in the history of our HOA. 
 
Some additional changes you may notice for the upcoming year are an increase in landscaping over 2020 (we had a reduction last year in April due to the change in companies so we are still ahead of plan), as we cleared out the blackberry area this year under the power lines near the entrance and have added regular maintenance for that area in addition to a few other areas that were previously not included in our contract. Due to covid, and a combination of vendor availability and the desire to be conservative on expenditures during the pandemic (not knowing what the future would bring), the management performed compliance drive-throughs were put on hold in 2020 as were the park split rail fence and the monument projects, and we hope to complete those in 2021 along with a refresh of the neighborhood entrance landscaping.
 
This year we still have plans to re-bark all planting beds and replenish all park play chips in November as well as refinishing park benches and tables. We are also currently working on repairing the vandalism done to the play structure in the big park earlier this year. Some of you may have seen the paint job, and no, it was not done by the HOA or a professional and is being corrected.
 
Our President and Community Association Manager will preside over an open forum for homeowners to ask any questions during the annual meeting. If you are unable to attend this meeting, please return your enclosed proxy, indicating who you would like to authorize to cast your vote on your behalf. You may return your completed proxy by fax, email, mail, taking it to one of the directors who will bring it to the meeting or have an attending neighbor bring it to the meeting prior to the start of the meeting. Proxies must be submitted prior to the start of the planned meeting time for validation.
 
The Bifrost Gate HOA Board of Directors is also actively looking for owners who would be willing to volunteer to serve on the board. We currently have an unfilled position and will unfortunately be losing another board member who will be moving soon. In order to keep our community thriving and to keep our costs down per household, we depend on board members to help run the neighborhood association. The Board of Directors takes three volunteers to run accordingly and we look forward to finding additional members to fill the vacant spots and assist in keeping our community a wonderful place to live in.
